1 Name 1.1 The club is called Seymour Synchro Swim School (SSSS) and has been affiliated to the Southern Counties Amateur Swimming Association (SCASA) since 1961. 1.2 Dawn Zajac founded Seymour Synchro Swim School in 1961.
2 Aims and Objectives 2.1 The aims and objectives of the club will be: 2.1.1 To offer coaching and competitive opportunities in Synchronised Swimming 2.1.2 To promote the club within the local community and Synchronised Swimming 2.1.3 To ensure a duty of care to all members of the club 2.1.4 To provide its services in a way that is fair to everyone 2.1.5 To ensure that all present and future members receive fair and equal treatment. 2.2 The Club will be conducted in accordance with the rules of the ASA and insurance will be up to date. 2.3 Competing members must be eligible to compete as defined in ASA rules. 2.4 SSSS will abide with all equality and equity issues as set out by the ASA and will be administered by the Secretary 2.5 SSSS will abide by current child protection guidelines as set out by the ASA and will keep abreast of current best practice and policy by having a Child Protection Officer elected by the committee
3 Membership 3.1 Membership of the club shall be open to any person completing a membership application form and paying the relevant annual subscription fee as determined by the Annual General Meeting of the Club Members. 3.2 All members shall be subject to the regulations of the constitution and by joining the club will be deemed to accept these regulations and codes of conduct that the club has adopted. 3.3 There shall be 4 classes of membership available. These are: 3.3.1 Instructors and Coaches 3.3.2 Associate Member 3.3.3 Competitive Swimmer 3.3.4 Non-Competitive Swimmer 3.4 All Officials, Judges, Referees, Scorers, Examiners and coaches must be members of the club if they wish to undertake these duties
4 Membership Fees 4.1 Membership fees will be set annually and agreed at the Annual General Meeting. All fees run the calendar year of 1st January to 31st December and are due at the beginning of the month. 4.2 Monthly fees will be higher at the beginning of the year to include ASA Registration, which covers all swimmers and coaches for insurance. 4.4 A reduced fee is applicable for extra family members 4.5 If fees paid in six monthly sections in advance then the sixth month is free
5 Officers of the Club 5.1 The Officers of the club shall be as follow: 5.1.1 Honorary President - Dawn Zajac 5.1.2 Executive Officers Chair Person Secretary Treasurer Publicity Officer Competition Secretary Child Protection Officer HR Officer 5.2 Executive Officers will be elected annually at the Annual General Meeting. 5.3 All Executive Officers will retire annually each year but will be eligible for re-appointment.
6 Committee 6.1 The affairs of the Club shall be controlled by a General Committee compromising of all 7 officers of the club. The General Committee shall meet at agreed intervals and not less than twice per year, giving three weeks notice prior to a meeting. 6.2 The duties of the General Committee shall be: 6.2.1 To control the affairs of the Club on behalf of the Members 6.2.2 To keep accurate accounts of the finances of the Club through the Treasurer. These should be available for reasonable inspection by members and should be reviewed before every Annual General meeting. The club shall maintain a bank current account and the following officers shall be authorized to sign Club cheques: Treasurer and Secretary and one other. 6.2.3 To co-opt additional members of the Committee as the Committee feels is necessary. Co-opted members shall not be entitled to a vote on the Committee. 6.3.4 To make decisions on the basis of a simple majority vote. In the case of equal votes, the Chairperson shall be entitled to an additional casting vote. 6.3.5 To be responsible for adopting new policy, codes of conduct and rules that affect the organization of the club. 6.3.6 To be responsible for disciplinary hearings of members who infringe the club rules/regulations/constitution. The committee will be responsible for taking any action of suspension or discipline following such hearings.
7 Annual General Meetings 7.1 Notice of the Annual General Meeting (AGM) will be given by the Club Secretary. Not less than 21 clear days’ notice to be given to all members. 7.2 The business of the AGM shall be to: 7.2.1 Confirm the minutes of the previous AGM and any General Meetings held since the last AGM 7.2.2 The AGM will receive a report from the Secretary and the Treasurer and a statement of the accounts. 7.2.3 Nominations for officers of the Committee will be sent to the secretary prior to the AGM 7.2.4 Elections of officers are to take place at the AGM 7.2.5 All members have the right to vote at the AGM 7.2.6 Review Club subscription rates and agree them for the forthcoming year. 7.2.7 Transact such other business received in writing by the Secretary from members prior to the meeting and included on the agenda 7.3 The Committee has the right to call Extraordinary General Meetings (EGMs) outside the AGM. Procedures for EGMs will be the same as for the AGM. 7.4 At all General Meetings, the chair will be taken by the Chairperson ot, in their absence, by a deputy appointed by the Club or by Full members attending the meeting. 7.5 Decisions made at the AGM shall be by a simple majority of votes from those Full members attending the meeting. In the event of equal votes, the Chairperson shall be entitled to an additional casting vote.
8 Discipline and appeals 8.1 All complaints regarding the behavior of members should be submitted in writing to the Secretary. 8.2 The committee will meet to hear complaints within 14 days of a complaint being logged. The committee has the power to take appropriate disciplinary action including the termination of membership. 8.3 The outcome of a disciplinary hearing should be notified in writing to the person who lodged the complaint and the member against whom the complaint was made within 14 days of the hearing. 8.4 There will be the right of appeal to the committee following disciplinary action being announced. The committee should consider the appeal within 14days of the Secretary receiving the appeal. 8.5 Pool Rules should be abided by at all times.
9 Amendments to the constitution 9.1 The constitution will only be changed through agreement by majority vote at an AGM or EGM.
10 Dissolution 10.1 A resolution to dissolve the club can only be passed at an AGM or EGM through a majority vote of the membership 10.2 In the event of dissolution, any assets of the club that remain will be given or transferred to some other voluntary organization having objects similar to those of the Club.
11 Declaration 11.1 Seymour Synchro Swim School hereby adopts and accepts this constitution as a current operating guide regulating the actions of members. |
